Job Summary:

As the Property Management Administrative Assistant, you will provide vital support to our property management team. Your role will include managing tenant communications, assisting with property maintenance requests, preparing documents, and helping ensure smooth day-to-day operations. Key Responsibilities:
  • Provide administrative support to property managers and assist with day-to-day operations
  • Handle tenant communications via phone, email, and in-person interactions
  • Coordinate maintenance requests and track work orders
  • Prepare lease agreements, renewals, and other property management documents
  • Update and maintain tenant databases and property management software
  • Assist in scheduling property showings and open houses
  • Process rent payments, handle invoices, and assist with financial tracking
  • Prepare and distribute notices and memos to tenants
  • Coordinate and support property inspections and assessments
  • Handle inquiries from potential tenants and manage the application process
  • Ensure all tasks are completed in a timely and professional manner
Qualifications:
  • High school diploma or equivalent; associate’s or bachelor’s degree preferred
  • Previous experience in property management, real estate, or customer service
  • Proficiency in Microsoft Office Suite and property management software (e.g., Yardi, AppFolio, Buildium)
  • Strong communication skills, both written and verbal
  • Ability to multi-task and prioritize effectively
  • Exceptional organizational and time management skills
  • Strong attention to detail and problem-solving abilities
  • Ability to work independently and as part of a team
  • Knowledge of property management regulations and leasing processes is a plus
