Job Summary:

We are seeking a highly accurate and detail-oriented Data Entry Clerk (Property Management) to support our property management operations. Your primary responsibility will be to input, update, and maintain property and tenant records. You will also generate reports, process work orders, and ensure data accuracy across multiple platforms.

Key Responsibilities:

1. Data Entry and Maintenance:

Accurately enter tenant information, lease agreements, and maintenance records into property management databases.

Update financial data, including rent payments, utility bills, and invoicing details.

Manage digital filing systems and ensure all records are kept up to date.

Process and update tenant move-in, move-out, and lease renewal information.

2. Property Management Support:

Record maintenance requests and update work order statuses.

Maintain a log of tenant inquiries and resolutions for future reference.

Assist in tracking occupancy rates, lease expirations, and upcoming maintenance tasks.

Support property listings by updating availability and property descriptions.

3. Financial Data Handling:

Generate bills, invoices, and payment notifications for tenants.

Assist in reconciling rent payments and maintaining accurate financial records.

Verify and log utility payments, deposits, and refunds.

Prepare periodic financial reports related to rental income and expenses.

4. Data Quality Assurance:

Conduct periodic audits to ensure data accuracy and consistency.

Identify and resolve discrepancies in tenant records or financial entries.

Cross-check data for accuracy before submitting reports.

Maintain confidentiality and data security at all times.

5. Reporting and Documentation:

Generate reports on tenant demographics, rental income, and maintenance activities.

Prepare data summaries for property managers and other stakeholders.

Assist in preparing performance metrics and occupancy analytics.

Keep a record of data corrections and updates for accountability.

6. Software Proficiency:

Utilize property management software (e.g., AppFolio, Rent Manager, Buildium).

Maintain spreadsheets and reports using Google Workspace or Microsoft Excel.

Use data entry tools and platforms efficiently to maintain data integrity.

Requirements:

1. Previous experience as a Data Entry Clerk, preferably in property management.

2. Excellent attention to detail and data accuracy.

3. Strong proficiency in data entry software and MS Excel.

4. Familiarity with property management software (e.g., AppFolio, Propertyware).

5. Strong organizational and time-management skills.

6. Ability to work independently in a remote setting.

7. Excellent verbal and written communication skills.

8. High level of integrity when handling confidential information.
